Inbox Zero With the 4-D Method
Clear your inbox in one 45-minute session with a simple rule for every email — Delete, Delegate, Defer, Do — then keep it clear in 20 minutes a day.

The idea
The average professional checks their inbox 30+ times a day. Every check is a switch that takes real time to recover from. The 4-D Method gives you a simple decision rule for every email — Delete, Delegate, Defer, or Do — so you process your inbox in one session and stop carrying it around in your head all day.
Who is this for?
Ananya Singh
Marketing Manager · Delhi
She had 2,847 unread emails and felt anxious every time she opened her inbox.
She ran the 4-D Method for 45 minutes: deleted 1,400 irrelevant threads, delegated 12 items, deferred 8 to a Follow-Up folder, and actioned 23.
The inbox hit zero for the first time in two years. She now runs a 20-minute sweep every Friday and hasn’t gone above 15 unread since.
"An unmanaged inbox is not a to-do list. It is a list of other people’s priorities."

Do the challenge
1Set a 45-minute timer
This is a one-time reset, not your daily routine. Block the time, close everything else, open your inbox.
2Apply the 4-D rule to every email, in order
Delete → Delegate → Defer → Do. One decision per email. No re-reading. No agonising.
💡 Most emails are Delete. Be ruthless — if you wouldn’t miss it, it goes. The goal is decisions, not perfect filing.
3Create one folder: "Follow-Up"
Everything you defer goes here, with a date in the subject line. This is the only folder you need.
4Set your daily maintenance time
Pick one slot a day (end of day, 20 minutes works well) for your 4-D sweep. Outside that window, your inbox stays closed.
Your template
The 4-D Email Decision Rule For every email, ask in this order — stop at the first Yes: 1. DELETE — Do I need this at all? No → delete/archive. (Most email lives here.) 2. DELEGATE — Is someone else better placed to handle it? Yes → forward with one clear line on what you need. 3. DEFER — Does it need me, but not now? Yes → move to "Follow-Up" with a date in the subject. 4. DO — Can I finish it in under 2 minutes? Yes → do it now and move on. --- MY RESET SESSION: Date: ___ Starting unread count: ___ Ending: ___ MY DAILY SWEEP: Time each day: ___ (20 minutes) The one folder I use: Follow-Up
